Welcome to Volga Tours. By booking or purchasing any of our tourist services (tours, packages, transportation, accommodation, etc.) through our website, emails, or any other direct sales channel, you (“The Customer” or “The Traveler”) agree to and undertake to fully comply with these Terms and Conditions. These terms are a binding legal contract governing the relationship between you and Volga Tours (hereinafter, “The Company”), with the aim of ensuring an organized, safe, and transparent travel experience in Peru. Please read each section carefully before making any reservation. If you have any questions, our team is at your disposal.

1. Reservation and Confirmation Process

1.1 Reservation Request

All reservations must be made through the Company’s official channels. For most of our tours and packages, we require a non-refundable initial deposit. The specific amount of this deposit is detailed in the description of the corresponding tour.

1.2 Reservation Confirmation

A reservation is considered confirmed only when the Company has received the initial deposit and has issued the respective proof of payment or confirmation voucher for services, detailing the dates, services contracted, and the outstanding balance. The availability of services (especially train tickets to Machu Picchu or trekking permits) is not guaranteed until the issuance of said voucher.

1.3 Payment of Outstanding Balance

The remaining balance of the total tour cost must be paid within the period specified in the confirmation. Generally, full payment must be completed before the start of the service. If the payment deadline is not met, the Company reserves the right to cancel the reservation and retain the initial deposit.

2. Pricing and Payment Policy

2.1 Currency

All prices for our services are quoted and accepted in US dollars (USD), unless otherwise specified. Payments may also be made in Peruvian soles (PEN) at the exchange rate on the day of the transaction, as determined by the Company.

Note: Any additional fees or charges levied by banks or payment gateways for the transaction shall be borne by the Customer.

2.3 Price Increases

Once the deposit has been received and the reservation confirmed, the total price of the tour remains fixed. However, the Company reserves the right to adjust prices prior to confirmation of the reservation in the event of significant increases in government fees (e.g., taxes, national park entrance fees), third-party costs (e.g., airlines, trains), or extreme currency fluctuations.

3. Cancellation and Refund Policy

Cancellations must be notified in writing via email to the Company. The effective date of cancellation will be the date of receipt of the email. The following penalties will apply:

Note: Tickets to Machu Picchu, the Inca Trail, and train tickets are non-transferable and non-refundable under all circumstances, according to the policies of the Peruvian operating entities.

4. Modifications

4.1 Modifications by the Customer

Any request for changes (dates, names, services) is subject to availability and may incur additional administrative fees. Changes to essential services (e.g., admission tickets) are subject to supplier policies and may be treated as a cancellation and new purchase.

4.2 Modifications by the Company

The Company reserves the right to modify the itinerary or services in the event of force majeure, unforeseen events, extreme weather conditions, strikes, security issues, or any other circumstances beyond our control. In such cases, an alternative of similar value will be offered at no additional cost. If the alternative is of lesser value, the difference will be refunded.

5. Traveler Responsibility

5.1 Documentation

It is the Customer’s responsibility to have a valid passport (valid for at least 6 months after the return date) and, if required, the necessary visas. The Company is not responsible for denial of entry to the country or tourist sites due to incomplete or incorrect documentation.

5.2 Health and Physical Fitness

The Customer must inform the Company of any pre-existing medical conditions, allergies, or special dietary requirements at the time of booking. It is crucial that travelers to high mountain areas (Cusco, Puno, Huaraz) consult their doctor and take the necessary precautions for altitude sickness.

5.3 Conduct

The Customer agrees to behave respectfully towards the environment, local culture, and the Company’s staff and suppliers. The Company reserves the right to terminate the service to any traveler whose behavior may endanger other travelers, staff, or the normal running of the tour, without the right to a refund.

6. Limitation of Liability

Volga Tours acts solely as an intermediary between the Customer and service providers (hotels, airlines, trains, local transport, independent guides). The Company is not responsible for:

We strongly recommend that the Customer take out comprehensive travel insurance covering cancellation, interruption, loss of luggage, and medical expenses.

7. Insurance

Travel insurance is not included in the tour price, unless explicitly stated. Volga Tours requires all travelers to purchase travel medical insurance that covers medical emergencies, evacuation, and repatriation, especially for trekking or adventure tours.

8. Jurisdiction

Any dispute or claim arising out of these Terms and Conditions shall be governed by and construed in accordance with the laws of the Republic of Peru.
